Hello! I was wondering if and how I could use my custom metadata schema in Preservica. Many thanks.

Hi all,I have been attempting to upload the City of Milwaukee’s largest accession yet in terms of number of files (over 6,000). I ran Directory Printer on the records in order to associate base metadata (format, collection identifiers, dates, etc.) on the records, copied into the CSV template, and attempted to upload using the usual bulk metadata upload process. This… did not go well, to the tune of “hung for half an hour and then kicked me out without uploading”.I have confirmed that I am able to upload the files WITHOUT the metadata files in a relatively expedited manner. I have also confirmed using a subset of the files that I have the template formatted correctly to perform the upload. So what I assume is happening is that the parser is going through the spreadsheet and mapping to the files in the upload package… which is a process that takes an extra-long time with 6000+ files.So I put it to the community: Have any of you discovered a soft cap on the number of files you can import

Hello,I would like to have a transcript field for resources that were handwritten. My plan is to scan a few old sermon scripts that were handwritten and have a transcript of the sermon so that it is accessible to readers. I appreciate if you can assist me.I am very new to Preservica and only have Preservica Starter.Thanks in advance,Siong  

I get a message saying the metadata file can’t be loaded because it is not in CSV format. Mine is saved as CSV in Microsoft. I used the template provided. What am I doing wrong?

Sort of self explanatory. I’ve gotten to the stage where the alert comes up to say “There are files or folders in the following CSV metadata without associated file or folder names, no metadata will be mapped to those rows...” and when I click “I understand, continue the ingest” it brings me back to the main page but nothing happens and I still have the “Complete Ingest” option in the taskbar. Any assistance would be great!

I’m trying out the starter edition, and I can see some preservation/technical metadata in the main GUI. Does any edition of Preservica have an ‘AIP Export’ option, or perhaps just exporting this technical/preservation metadata in some form? I’ve seen bits and pieces in the community hub about XIP and XSL transforms to METS and PREMIS, but this doesn’t seem to be available to starer edition users? I’m mostly interested in seeing what kinds of information is exportable from Preservica. Best, Kieran O’LearyNational Library of Ireland

As a new user of Starter I am exploring and trying out all the features and functions.Bulk editing is very important to me but I cannot get it to execute after setting the fields as I want them. I’ve tried a few times but no luck.It stays on this screen after I click “Yes, continue”: 

How can one bulk add, or edit, the Description Field in Preservica Starter? I have no problem editing the MODS metadata with a bulk upload, but the Description Field is not included in the MODS schema, and I have to go into each file and manually paste a description into the asset. There has to be a better way! Thank you.

I am trying to get items to appear in the portal view. And I understand that I need to make sure all levels are public, from the item to the folder structure it is nested in. I go to the folder level, right click on the folder title, and scroll down and choose public (it is currently set to private) and then a box containing a large red dot and a message flashes on the screen and then disappears before I can read it or engage with the content and then when I right click the folder name again, I can see that access is still coded as “private”. What the heck is going on?

I am a brand new Starter Plus user and this is my first community post. After having uploaded 5 other folders without any issues, my attempts at two new folders were both met with “Ingest Aborted” messages. The folder contains only .TIFF files. It would be much nicer if there was more information provided as to “why” the Ingest failed. I am using the Chrome browser on my Mac.Any suggestions before I try calling a live support person (do they exist, or is support only with email?)Thank you.John in Seattle 

I’ve read through several posts on bulk uploads, and I apologize in advance if I missed this. Are you able to edit one field for one asset from a previous bulk upload?I don’t see an option. I don’t need to edit one field for the all the bulk uploaded assets. Just one field for one asset. Thanks!

I have looked around for similar topics and found a few which were helpful but did not describe the problem I’m currently having.I have created my CSV file and uploaded a small batch of images and it says it has successfully completed the upload and matched the metadata but when I look at the image in Preservica there is no metadata there. It looks the same as it does if I just upload the images by themselves and I’m not sure what to do to fix the problem, since it indicates it’s working properly. I did wait overnight to see if it populated later and I was just being impatient but that didn’t seem to work. Any thoughts on the matter are appreciated.

Hi Everyone- I previously selected some thumbnails for my folders that I now want to remove and not replace with anything else.  I see the “Change Thumbnail” option… but this only allows you to change content for content, not to remove completely.  It’s not the most pressing issue, but one that sort of just bothers my quest for order.  :) Has anyone had any luck removing thumbnails once they have been used?Thank you!  

Good Morning-On this painfully early Saturday morning, I’m trying to work on getting our public portal up and running - and starting small.  When I select the top-level series “public” button, the normal dialog box asking if I really want to do that comes up but disappears before I can click the affirmative button.Is anyone else experiencing this?  I’ve tried the usual logout, shut down, etc.  Thanks!  Have a great weekend-Ashley

Is it possible to have a shortened or custom URL for your public portal with the Starter Basic package?If so, what is the process or the steps to make it happen?I vaguely remember receiving an email about this, but am unable to find the email or further information on the community pages.Thanks for any insights!

Hello folks,I’m meant to convince another department at my City that Preservica can handle their needs (especially reporting needs) for the City art collection. The information they have about it is terrible, so I’m hoping to show someone else’s public Preservica collection to show what can be done.Has anyone used Preservica for art collection management and willing / able to send me a link to your public catalogue?

I’m attempting to upload a folder with a metadata csv file. When I add the folder, the process works until the last step. So, it uploads the files, recognizes the metadata csv and indicates “action required”, I select comma delimited, click the “complete ingest” button, and but it just takes me back to the “action required” step. I click again and it does the same thing. There are no error messages.

I have uploaded folders containing files to Preservica that are of many different topics. As I go through them, I would like to send them to other spaces in my collection. So far the only way I have found to do this is to drag and drop to the sidebar. This is not very accurate, and files end up lost. Is there an easy way to do this, or does sorting need to happen outside of Preservica Starter?

I’m using a trial version of Professional Edition.  We have thousands of born-digital JPEGs from our campus photographers that have good embedded metadata.  The ingest process exports some of the technical exif data, but nothing of use for staff or researchers needed for searching.  Nothing in Description or Origin is copied/exported into corresponding Dublin Core fields to facilitate access.  What can be done to correct this?  Does anyone have a method of exporting exif data into a CSV file that can be put into the DC template Preservica provides to import metadata during ingest? Thank you,Matt GorzalskiSouthern Illinois University Carbondale

Hi, I’m using Preservica Starter and have loaded a number of videos into my workspace. When looking at them via the portal, there are two that don’t load correctly. The video window appears then disappears. The play/progress bar shows with just white above it. I can play the video and hear the audio, but instead of the video showing, only a white screen where the play window should show. My videos are all MP4 and all my other videos play just fine, only two don’t. I’ve tried re-uploading them and they still don’t work right. I’ve looked with different web browsers and different computers to no avail. The original video plays just fine on various computers.Is there a solution to this problem? 

Hello. How do you add users in Starter Plus?  The “Users” button states “Can I add additional users?Yes, review the Starter Plus and Premium plans which include additional users.”  That is all I can find about adding users. Thanks,Don

Hello,I am wondering if the files already ingested in Preservica Starter will get overwritten by the same files being uploaded again with a bulk ingest, or do they create copies?  Scenario:I have a folder on my computer that I add items to over time as I discover them in the archives (the archives program is new, so I am organizing while digitizing some items).  I would like to add the metadata to the existing DC csv file, then bulk ingest again.  Ideally, I would not bulk ingest again over one item, but if I add 10+ I would want to go this route.Is this possible without creating copies of the files stored on Preservica, or would I have to create a separate folder with a new DC csv file for these new items?Thank you.

How do I delete a folder?  I created three folders that are empty.  I can see the empty recycle bin, and I can right click on the folder, but cannot find anywhere to select “delete”.  When I click on “Actions” from the menu on the right, the only thing that comes up is the option to manage or ask for submissions.  Also, I put my first collection in the “My First Collection” folder and now realize that it should have been outside that folder to stand on its own.  Can I move it, or do I have to delete it (once I understand how) and add it outside the folder?
