Metadata import during ingest
I am in a Professional Edition trial period. I did the training and learned how to create Metadata Groups and apply the custom template to folders and files. I also downloaded the DC template, copied metadata into the template, and uploaded it with various files so that the metadata would populate DC fields during ingest. Now I’m running into problems as I get more specific to my institutional needs. Is it possible to use Preservica’s supplied DC CSV template and import metadata into a created Metadata Group during ingest? Like many, we use Excel to create file-level metadata for images, audio, and video we digitize. Most fields map directly to DC fields. Some have no direct DC map. In some cases, we need two creator fields and change the field labels from Creator to Interviewer and Interviewee. Is it possible to change field labels or add columns within the supplied template so that it aligns with the custom Metadata Group? Thank you,Matt GorzalskiSouthern Illinois University C
Description and Origin Exif data
I’m using a trial version of Professional Edition. We have thousands of born-digital JPEGs from our campus photographers that have good embedded metadata. The ingest process exports some of the technical exif data, but nothing of use for staff or researchers needed for searching. Nothing in Description or Origin is copied/exported into corresponding Dublin Core fields to facilitate access. What can be done to correct this? Does anyone have a method of exporting exif data into a CSV file that can be put into the DC template Preservica provides to import metadata during ingest? Thank you,Matt GorzalskiSouthern Illinois University Carbondale
Public Portal Malfunction
Good Morning-On this painfully early Saturday morning, I’m trying to work on getting our public portal up and running - and starting small. When I select the top-level series “public” button, the normal dialog box asking if I really want to do that comes up but disappears before I can click the affirmative button. Is anyone else experiencing this? I’ve tried the usual logout, shut down, etc. Thanks! Have a great weekend-Ashley
Preservica Starter Video doesn't show (but I can hear)
Hi, I’m using Preservica Starter and have loaded a number of videos into my workspace. When looking at them via the portal, there are two that don’t load correctly. The video window appears then disappears. The play/progress bar shows with just white above it. I can play the video and hear the audio, but instead of the video showing, only a white screen where the play window should show. My videos are all MP4 and all my other videos play just fine, only two don’t. I’ve tried re-uploading them and they still don’t work right. I’ve looked with different web browsers and different computers to no avail. The original video plays just fine on various computers. Is there a solution to this problem?
Trouble with uploading metadata
Hello,I am new to Preservica Starter and to archiving/Dublin Core… I am trying to upload a folder with files and attached metadata. I have followed the video and instructions and all seems to be going okay until right at the last moment when a message comes up that reads:There was a problem with your ingest packageThe CSV metadata file has been mapped successfully, but something went wrong whilst processing the package. Please try againPlease resubmit your packageI have tried everything from reducing the metadata to only one file and one catergory with data as ‘test’ - which worked, but as soon as I fill in anything else (even with no punctuation or anything) I get the same message. Any help would be much appreciated. Thank you so much!Janet
Remote Contributors SIG - recording and FAQ sheet
Thank you to everyone that took part in last week’s Special Interest Group (SIG) on ‘Remote Contributors’, an upcoming new Starter capability making it easy to get donors and submitters to contribute digital assets to your repository. This was an extremely valuable session, and thank you to those that provided feedback and suggestions as we continually develop and enhance this exciting new feature ahead of it’s planned release for Starter users in the first half of next year. Do files get overwritten when doing a new bulk ingest?
Hello,I am wondering if the files already ingested in Preservica Starter will get overwritten by the same files being uploaded again with a bulk ingest, or do they create copies? Scenario:I have a folder on my computer that I add items to over time as I discover them in the archives (the archives program is new, so I am organizing while digitizing some items). I would like to add the metadata to the existing DC csv file, then bulk ingest again. Ideally, I would not bulk ingest again over one item, but if I add 10+ I would want to go this route. Is this possible without creating copies of the files stored on Preservica, or would I have to create a separate folder with a new DC csv file for these new items?Thank you.
Delete a folder
How do I delete a folder? I created three folders that are empty. I can see the empty recycle bin, and I can right click on the folder, but cannot find anywhere to select “delete”. When I click on “Actions” from the menu on the right, the only thing that comes up is the option to manage or ask for submissions. Also, I put my first collection in the “My First Collection” folder and now realize that it should have been outside that folder to stand on its own. Can I move it, or do I have to delete it (once I understand how) and add it outside the folder?
Upload a Folder with Metadata
I’m trying to upload a folder with files and a .csv metadata file using the Dublin Core template from the starter website. I keep getting a message saying “There was a problem with your ingest package. The ingest package must include a CSV metadata file in your chosen upload folder.” The folder I’m trying to upload does contain a CSV metadata file. Thank you for your help. Polly
Lack of OCR in Starter?
I’m saving our press releases that are emailed to staff and faculty with a link. The link takes you to a webpage where the release is posted. I can use Conifer to record the webpage and ingest it into Preservica, but for the best discoverability, it would be nice if these articles could be OCR’d. It doesn’t seem like that’s a feature in Starter, which I understand. How are other Starter users compensating for this?My own methods, so far: If there’s a photo (which is most of the tme) is to make subject headings of the people identified. I had an article where the photo only named one person, but the article named seven or eight others. I decided to list the names in the Description field of my DC metadata. Don’t ask me why. I’m trying different approaches.Am I missing something obvious or do you have better methods?
Hello,I would like to have a transcript field for resources that were handwritten. My plan is to scan a few old sermon scripts that were handwritten and have a transcript of the sermon so that it is accessible to readers. I appreciate if you can assist me.I am very new to Preservica and only have Preservica Starter. Thanks in advance,Siong
Exporting AIPS - XIP access
I’m trying out the starter edition, and I can see some preservation/technical metadata in the main GUI. Does any edition of Preservica have an ‘AIP Export’ option, or perhaps just exporting this technical/preservation metadata in some form? I’ve seen bits and pieces in the community hub about XIP and XSL transforms to METS and PREMIS, but this doesn’t seem to be available to starer edition users? I’m mostly interested in seeing what kinds of information is exportable from Preservica. Best, Kieran O’LearyNational Library of Ireland
Is it possible to set particular assets so that they don’t have permission for viewers to download them, please?Normally this isn’t an issue but for some of our oral history recordings the permissions given are for archiving and access for research purposes. These assets shouldn’t ideally be able to be downloaded by individuals as the permission for recording and storage does not cover that. Thanks,Mark NormanFounding CuratorThe Folklore Library and Archivewww.folklorelibrary.com
I am using Preservica starter as a platform to provide metadata for by the Digital Public Library of America. I was under the impression that Starter was set up with OAI-PMH friendly parameters, but the State Library of Ohio cannot find the proper OAI-PMH URI to gain access to the collection. I need help ASAP. This work was funded by a state grant and time is of the essence!Thank You!
File Report in Starter?
Pretty sure I know the answer to this already, but: is there some way to get a breakdown of files with file sizes in one’s Starter Plus instance? I can do this file-by-file by looking at preservation history, and I can sort of do it folder-by-folder by presenting assets as a list, but obviously neither solution is really practicable at scale. (Context: I am trying to see how much space a group of raw camera images is taking up.) It would be extremely useful for space management purposes if there was something like this to assist with file appraisal. Thanks,Brad Houston, City Records OfficerMilwaukee Municipal Research Center
Is Starter edition significantly different from Professional/Enterprise?
I’ve been playing around with Starter edition in order to get a sense of what a full instance (Professional/Enterprise) would be like, and I’m starting to realise that they’re two very different products? Would I be correct in thinking that the logical data model and ingest/preservation workflows do not really apply here to the starter edition?
"Browse collection" leads to 404 error
I am trying to complete the Getting Started With Starter training activities. One of the instructions is to “click on Browse Archive” in the Public Portal. I don’t see a “browse archive” option, but I do see a “browse collection” option, so I clicked on that. It keeps resulting in an error that says “404: This page could not be found.” Does anyone know what causes this? Also, am I doing the correct thing by clicking on “browse collection,” since I don’t seem to have a “browse archive” option?
