Workshop
Tuesday, July 17, 1:00 PM - 2:30PM EDT (90 minutes)

Modernize Preservation and Access to Government Records

This free 90-minute workshop will share examples of government institutions that have replaced outdated microfilm, paper-based and other manual processes with modern, efficient digital workflows for records preservation and online access for departments and citizens.

In particular, the session will provide an in depth walk-thru of a new Preservica application for local government that includes out-of-the-box templates for different government records workflows that have been developed in collaboration with records and archives managers.

You will learn how to:

  • Leverage best-practice metadata and folder structures for different record types
  • Provide secure self-service for internal departments
  • Quickly upload and organize digitized records
  • Publish public records to your own branded portal
  • Efficiently capture records from departments and citizens
  • Automatically preserve digital records so they can be read and trusted over decades

And – how to tie all of these together into efficient workflows - cutting what used to take days down to minutes!

Simone Wagner, Software Configuration Specialist, Preservica

Speaking Sessions
Wednesday, July 18, 2:20 PM - 3:20PM EDT (1 hour)

Deliver a unified M365 IG strategy across the records lifecycle

Drawing on real-world use cases and Microsoft 365 (M365) implementation strategies, this session will explore how local and state government records and archives professionals are collaborating with IT peers to integrate preservation and archiving of long-term public records into their enterprise SharePoint, Teams and Outlook ecosystems – including automated file format migration to ensure records can always be read and trusted.

This unified, in-place lifecycle management approach for electronic public records managed in M365 leverages Microsoft Purview and Preserve365 to enable enterprise deployment teams to:

  • Drive improved compliance by automating long-term retention and preservation actions
  • Boost user productivity by applying familiar search and discovery tools to surface inactive and archived long-term and permanent public records
  • Minimize risk of long-term data loss from file format obsolescence
  • Automatically migrate high-value government records into readable file formats to ensure access and trustworthiness over time and custodians
  • Quickly surface inactive records archived in M365 from legacy platform migrations

This session will provide NAGARA's membership with strategies and benefits of delivering a unified archive/records management approach to managing the lifecycle of electronic records in the Microsoft 365 ecosystem.

Digitize Once. Preserve Forever. Establishing workflows to protect investments in digitizing analog content.

The digital age has made it possible for organizations to digitize analog collections to increase the accessibility and discoverability of important content. These initiatives offer a number of other benefits as well such as reducing the physical footprint of analog collections in research centers, freeing up staff time, and creating opportunities to provide widespread digital collections access to new audiences across a broader geographic area. But how do organizations protect their investment in digitizing materials to ensure the information is available well into the future?

Digitization is one step in the digitization lifecycle. Effective digitization programs should consider how best to preserve those files from the outset with automated digital preservation.

This session will explore the lifecycle of creating digital content and discuss workflows from camera to system that allows organizations to protect their investment when converting analog collections.

NAGARA members who attend this session attendees will:

  • Understand the digital lifecycle
  • Understand the difference between digitization and digital preservation
  • Explore easy workflows to digitize content and seamlessly move content into digital preservation systems to future-proof files
