Is there a cost associated with setting up the Proficio/Preservica API if we already use both systems?

Preservica customers will need to be on CE Pro or EPC to use the Proficio API.  The Proficio API uses Preservica APIs which are only licensed with these versions of Preservica.  If you are not on CE Pro or EPC then please reach out to your Preservica Account Manager to discuss costs and learn about all of the APIs available.

 

If you are currently a Proficio client and on Preservica CE Pro or EPC, there is no extra cost for those who attended this webinar through the end of the year (12/31/2022).  Just reach out to the Re:Discovery Software staff to get the API set up.  (Note: starting 1/1/2023, there will be a one-time setup fee.)

Who do we ask to set up the Proficio/Preservica API?

If you are already a Proficio client, contact the Re:Discovery Software support team at Support@rediscov.com and we’ll send you the information we need to set it up.  We’ll need to know what fields you want, how you connect to your Preservica instance, and more. 

What is needed to create this integration?

For the Orange County Regional History Center, is the main access point for your collections via Proficio? When do you use Preservica?

Yes, currently, it's Proficio. We are still working on the kind of public-facing side of Preservica. When it's done, it will essentially be a combination of both. But it will look to anyone using it like it's just the Proficio system.

I already have Preservica. If I started using Proficio would it be possible to export the metadata from Preservica into Proficio?

Currently, we don't have a process to go from Preservica to Proficio. Right now, it’s from Proficio to Preservica.  But it could be a future development.

 

There are some functions in Proficio for importing data. If you export metadata from Preservica in a certain format – such as a tab-delimited or an XML file, you can import that in Proficio.  But it's not a direct connection, so you have to have a file to import.

Is the Orange County Regional History Center leveraging universal access for your collection? Or is this integration mainly for preservation purposes?

We will be using universal access for our larger media such as videos, audio files, and content like that. But we haven't made that public yet.

Is the connection from Proficio to Preservica a one-way connection? Or can you update metadata in Preservica and then export that to Proficio? 

It is a one-way connection from Proficio to Preservica.  You can send data to Preservica to fill in the Dublin Core schema section. That’s what actually updates data in Preservica.

Do you need to have an image attached to export the metadata to Preservica or can you just export the catalog record without the image thumbnail?

You do not need an image or any other media file attached to your Proficio record to export the metadata to Preservica. You can just export metadata directly to Preservica if that’s your preference.

We are using two-factor author authentication for Preservica. Can Proficio integrate with that as well?

It’s something we are exploring but, at this time, Proficio cannot integrate with Preservica’s two-factor authentication. 

I'm an archivist at a small nonprofit, LGBTQ community archives, and we are in the process of setting up Preservica as our DAM system following a large digitization project.  Would adding an integration with Proficio be sustainable for a smaller community organization?

It would depend on how much content you have in Preservica and which version of the software you are using.  Preservica customers will need to be on CE Pro to have access to the APIs.  If you are not on CE Pro, then the APIs can be made available for a fee.  Contact your Preservica representative to discuss this further.

Is the Dublin Core schema the only available schema for the Proficio and Preservica integration?

Yes, Proficio only uses the Dublin Core schema section in Preservica to export our data.

For Orange County Regional History Center, do you have all digital files in both Preservica and Proficio, or do you simply catalog some items in Proficio and then link to the actual digital files in Preservica?

We do not currently have all digital files in both systems although that is our plan. We started with a focus on the born digital content and digitized legacy media and plan to expand over time. The cataloging process only takes place in Proficio.

For Orange County Regional History Center, have you ever converted data from Portfolio? Have you transferred data and images from Portfolio to Proficio or would you transfer directly to Preservica?

We have not converted data from Portfolio or transferred data through Portfolio.
